Job Title: Administrative Assistant III (2nd Shift)
Location: Goodyear, AZ
Pay Rate: $18.50/hour
Schedule: Monday–Friday, 3:30 PM – 11:30 PM, with overtime and weekend availability as needed

Job Summary
The Administrative Assistant III provides high-level administrative support, performing complex and confidential functions on behalf of a department head or large department. This role involves managing administrative programs, coordinating projects, and handling a wide range of office responsibilities with minimal supervision. The position may also include providing direction to lower-level clerical staff.

Key Responsibilities
  • Greet visitors, answer phones, screen and route calls, take messages, and assist with resolving routine inquiries regarding departmental policies and procedures
  • Provide work direction or supervision to lower-level clerical personnel as needed
  • Schedule appointments and manage calendars for department leadership, often without prior clearance
  • Coordinate meetings, conferences, and special events, including catering, presentation materials, and equipment setup
  • Arrange travel and lodging accommodations and process expense reports
  • Review, prioritize, and determine appropriate actions for incoming correspondence and mail
  • Maintain office supplies, equipment, filing systems, and departmental records
  • Assist with creating and maintaining reports, spreadsheets, charts, graphs, and databases
  • Monitor and assist with departmental budgets, expenditures, and account records
  • Coordinate office equipment repairs and collaborate with facilities to ensure efficient workspace utilization
  • Compose documents, maintain databases, and update departmental websites and records
  • Handle confidential information with discretion and professionalism
  • Conduct research, analyze data, and support large-scale project coordination
  • Maintain calendars and scheduling for management
Qualifications & Requirements
  • High school diploma or equivalent required
  • Minimum of three (3) years of administrative support experience and knowledge of general office procedures
  • Strong listening, verbal, and written communication skills
  • Ability to exercise discretion and independent judgment within established policies and procedures
  • Experience with report generation and administrative practices required
  • Intermediate or advanced proficiency in Microsoft Office (Word, Excel, Access, PowerPoint) and internet search tools
  • Experience with pivot tables and advanced Excel formulas preferred
  • Strong attention to detail and ability to multitask in a fast-paced environment
  • Excellent organizational, problem-solving, and time management skills
Physical & Work Requirements
  • Ability to remain seated for extended periods during the workday
  • Capability to perform tasks involving fine motor skills, including typing, filing, and handling paperwork
  • Ability to communicate effectively through sight, hearing, and other necessary means to perform job duties safely and efficiently
