Warehouse Operations Analyst
Position Summary
The Warehouse Operations Analyst serves as a key support partner to the Plant Manager and plays an integral role in the day-to-day operations of the distribution facility. This position combines operational analysis, administrative support, billing and invoice review, employee support, and warehouse coordination.
The ideal candidate is highly organized, analytical, and comfortable working in a fast-paced warehouse environment. This individual should be able to work with numbers and operational data, identify discrepancies, assist with billing and invoice approvals, and provide administrative support while also interacting effectively with employees and leadership throughout the facility.
This position requires someone who understands that successful warehouse operations involve more than numbers and reports. The Warehouse Operations Analyst should be comfortable working across the entire operation and supporting areas such as staffing, productivity, training, employee performance, attendance, safety, receiving, shipping, inventory, and overall operational efficiency.
Essential Responsibilities:
Operations & Plant Support
- Serve as a key operational partner and right-hand support to the Plant Manager.
- Assist with the daily coordination and administration of warehouse operations.
- Develop a strong understanding of the overall distribution operation, including receiving, shipping, inventory, staffing, productivity, and workflow.
- Assist management with researching and resolving operational issues.
Data Analysis & Reporting
- Prepare and maintain daily, weekly, and monthly operational reports.
- Identify discrepancies, trends, and unusual variances and bring them to management's attention.
- Utilize Microsoft Excel and other systems to organize, analyze, and present information.
- Maintain accurate records and ensure data is entered and reported accurately and timely.
Billing, Invoicing & Financial Administration
- Review invoices for accuracy and completeness prior to approval.
- Verify hours, rates, quantities, charges, and supporting documentation.
- Research and resolve billing discrepancies with appropriate departments or vendors.
- Assist with general billing and administrative accounting functions.
- Maintain organized records related to invoices, billing, and operational expenses.
- Use numerical and analytical skills to identify discrepancies and ensure financial information is accurate.
Employee Support, Coaching & Training
- Assist with training and onboarding of new employees.
- Help ensure employees understand and follow company policies, procedures, and operational expectations.
Administrative Responsibilities
- Provide general administrative and clerical support to the Plant Manager and operations team.
- Maintain accurate files, records, reports, and documentation.
- Prepare correspondence, spreadsheets, reports, and other operational documents.
- Coordinate and track follow-up items to ensure completion.
- Assist with scheduling, meetings, communications, and other administrative needs as assigned.
Warehouse Operations
- Develop a working knowledge of the entire warehouse operation and how each functional area impacts overall performance.
- Regularly interact with warehouse employees, supervisors, and management.
- Work within the warehouse environment as needed to understand and address operational needs.
Required Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in Business, Operations, Supply Chain, Logistics, Accounting, or a related field preferred.
- Previous experience in warehouse, distribution, logistics, manufacturing, or a similar operational environment.
- Strong mathematical and analytical skills.
- Strong proficiency with Microsoft Excel, including the ability to work with spreadsheets, formulas, sorting/filtering, and data analysis.
- Previous experience with billing, invoicing, administrative functions, or financial documentation preferred.
- Experience providing employee coaching, training, or performance support.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to handle confidential employee and business information appropriately.
- Ability to work effectively with employees at all levels of an organization.
- Strong attention to detail and ability to identify discrepancies or errors.
- Ability to prioritize multiple responsibilities in a fast-paced warehouse environment.
Preferred Qualifications
- Experience supporting a Plant Manager, Operations Manager, Warehouse Manager, or Distribution Manager.
- Experience in a high-volume distribution environment.
- Experience with warehouse management systems (WMS), transportation/logistics systems, or ERP systems.
- Experience reviewing labor, productivity, billing, or operational reports.
- Experience with invoice reconciliation or accounts payable support.

Work Environment
This position is based in a distribution/warehouse environment and requires regular interaction with both office and warehouse personnel. The individual must be comfortable balancing administrative and analytical responsibilities with time spent on the warehouse floor.
The successful candidate should be comfortable working in a fast-paced environment where priorities may change and where strong judgment, organization, communication, and follow-through are essential.
